A CONSIDERED SERVICE
Earthbound Memorials provides a carefully managed service following cremation. Each memorial is prepared individually, with attention given to both the practical handling of cremated remains and the creation of a lasting, living memorial. By placing an order, you are entering into an agreement for the provision of this service, as outlined below.
PLACING AN ORDER
When you place an order with Earthbound, we will begin coordinating the collection and preparation process.
We will contact you to:
• Confirm details of the person being remembered
• Arrange collection of cremated remains
• Discuss any specific requests, including family keepsakes, woodland scattering, or inscription details
Orders are considered confirmed once payment has been received.
COLLECTION OF CREMATED REMAINS
We can collect cremated remains from:
• A private residence
• A funeral director
• A crematorium
Collection is carried out with care and in accordance with the relevant permissions and documentation required for release.
By proceeding with your order, you confirm that you have the authority to provide the cremated remains to Earthbound for the purposes of creating the memorial.
Earthbound accepts instructions in good faith and is not responsible for disputes arising between family members, executors, or other parties regarding authority over cremated remains.
We maintain a clear internal process for the handling, identification, and storage of cremated remains throughout.
CARE OF CREMATED REMAINS
While cremated remains are in our care, Earthbound maintains procedures for their secure handling, identification, storage, and preparation.
We take great care to ensure the respectful treatment and traceability of all cremated remains entrusted to us throughout the memorial creation process.
PREPARATION AND PLANTING
Cremated remains are carefully prepared and incorporated into the memorial in accordance with the service selected. Where appropriate, cremated remains are combined with specialist soil to create a suitable growing environment for the memorial tree.
The selected tree is then planted and nurtured for an establishment period to ensure it is healthy and stable before delivery.
Where applicable, any remaining cremated remains are respectfully placed within a sealed internal memorial vessel, which sits discreetly within the planter.
FAMILY KEEPSAKES
Where requested, Earthbound can prepare small, separate amounts of cremated remains as family keepsakes.
These are provided in sealed vessels and are intended for personal keeping or private scattering.
All family keepsakes are prepared at the same time as the memorial and will be delivered together with the memorial to the same delivery address.
Earthbound does not provide separate delivery of individual keepsakes to multiple addresses.
Once prepared and delivered, responsibility for the handling and use of these keepsakes passes to the recipient.
WOODLAND SCATTERING (OPTIONAL)
In some cases, Earthbound may be able to offer the option for cremated remains not included within the memorial or prepared as family keepsakes to be scattered within private woodland.
This is not a standard service and is not available in all cases.
Where this option is requested, it will be discussed and agreed with you in advance.
Any scattering is carried out discreetly and respectfully within land where appropriate permission has been obtained.
These locations are not memorial sites and are not accessible to visit.
Where woodland scattering is arranged, we will confirm with you in advance when it will take place. Following scattering, we will notify you that it has been carried out.
By choosing this option, you confirm that you consent to this method of handling for the specified cremated remains.
Once scattered, cremated remains cannot be recovered.
DELIVERY
Each memorial is delivered with care once it has been prepared and established.
We currently offer personal delivery within a 30-mile radius of our base. This allows us to ensure that each memorial is transported and received with the attention it requires.
Delivery within this area is included as part of the service.
Due to the nature of the memorial and the inclusion of cremated remains, standard courier services are not always appropriate.
For addresses outside this area, delivery options will be reviewed with you. Where possible, we will work with you to explore a suitable and respectful way to proceed.
Additional costs may apply depending on location and method.
Delivery times will vary depending on preparation and location, but we will keep you informed throughout.
If delivery cannot be completed due to incorrect delivery information, restricted access, or the recipient not being available at an agreed delivery time, additional delivery charges may apply.
PLANTERS AND PLACEMENT
All memorials are initially established in a breathable growing container designed to support healthy root development.
Where an Earthbound planter is selected, the memorial is supplied as a complete, ready-to-place piece.
Our planters are designed to accommodate future growth, allowing the memorial to develop naturally over time without the need to disturb the planted composition.
LIVING MEMORIAL CARE
Each memorial tree is a living plant and will continue to grow and respond to its environment.
Care guidance is provided to help you choose a suitable location and maintain the health of the tree.
While we select trees for their resilience and suitability, ongoing care remains the responsibility of the recipient.
DIGITAL MEMORIAL PAGE
Each Earthbound memorial includes access to a private digital memorial page, allowing invited family members and friends to share photographs, messages, and memories over time.
Your memorial includes this digital space as part of the service. It will be created and made available to you as soon as it is ready. The memorial page is provided without additional charge for an initial period of three (3) years from the date it becomes available. After this period, you will be invited to continue access to the page for a small annual fee, currently £12 per year, which supports ongoing hosting and maintenance.
We will contact the primary account holder in advance of renewal.
If the annual fee is not continued, the memorial page will be respectfully archived.
We will make reasonable efforts to retain memorial content following archival and may be able to restore access at a later date where records remain available.
Where multiple family members have access to the memorial page, responsibility for the page may be transferred if needed.
In the event of the death or incapacity of the primary account holder, we will make reasonable efforts to transfer responsibility to another designated user where possible.
While we take care to maintain and protect all content, we do not guarantee uninterrupted availability of the digital service.
We may occasionally update, improve, or replace features of the digital memorial service as part of ongoing maintenance and development.
AMENDMENTS AND CANCELLATIONS
Due to the personalised nature of the service and the involvement of cremated remains, orders may be cancelled prior to the collection of cremated remains.
Once cremated remains have been collected by Earthbound, the memorial preparation process is considered to have commenced and the order becomes non-cancellable and non-refundable.
If you need to make changes to your order, please contact us as soon as possible and we will do our best to accommodate your request.
DAMAGED OR INCORRECT ITEMS
If your memorial arrives damaged or does not match your order, please contact us within 48 hours of delivery.
We will work with you to resolve the issue as quickly and sensitively as possible.
NON-PERSONALISED ITEMS
Where non-personalised items are purchased separately, these may be returned within 14 days of receipt, provided they are unused and in their original condition.
LIMITATION OF SERVICE
Earthbound provides a service involving natural materials and living plants.
While every effort is made to ensure the quality and longevity of each memorial, we cannot guarantee the long-term survival of any plant, as this will depend on environmental conditions and ongoing care.
Trees are living organisms and may naturally vary in appearance, growth rate, colour, and habit over time. Environmental conditions, placement, weather, and ongoing care will influence the long-term development of the memorial.
UNFORESEEN CIRCUMSTANCES
Earthbound cannot be held responsible for delays or interruptions caused by circumstances beyond our reasonable control, including severe weather, transport disruption, supplier shortages, illness, natural events, or other unforeseen circumstances.
Where such circumstances arise, we will keep you informed and work with you to complete the service as soon as reasonably possible.
GOVERNING LAW
These terms are governed by the laws of England and Wales.
Any dispute arising in connection with these terms shall be subject to the jurisdiction of the courts of England and Wales.
